Preparing For Kick-Off

By now, you should have dates for the kick-off call and the site visit that follows it about a month later. In preparation for the call, you will be required to provide three items as attachments on the Letter of Intent (LOI).
Create a Reminder The LOI is due no later than one week prior to your kick‑off call.

A collection report

A breakdown, by categories, of your current material collection quantities. This information is essential to help the architect assess your collection and determine the appropriate number of shelves for your library. A sample report should have already been shared with you. Please notify our office if you did not receive it.

A floor plan of your space

Either existing or new, drawn to scale, preferably in an electronic version like this floor plan example. Can’t locate one? Other applicants have used their community network to identify an architect, contractor, draftsperson or even an interior designer to help create one. Many times, such folks are eager to support the library with an in-kind donation of their services. If you cannot find someone to help, please reach out to us for assistance.

A video tour of your library

Please follow these tips when capturing the space:

  • Keep the phone/camera in landscape.
  • Ensure clear audio for the narration as it helps orient the reviewers.
  • Walk slowly and narrate as if you are giving a tour.
  • Start from the entrance and go through the different areas.
  • Include the ceiling in the frame. The architect may use the ceiling tiles to double-check dimensions.
  • Remember that you will want to do this again in the same order when everything is complete for a powerful before and after.
  • Upload the video to YouTube and select public rather than private.
